Set tool defaults for Calendar, Drive, and web research

Decide whether dreamif.ai may check your calendar, read Drive, or search the web while drafting, and write the guidance it follows when it does.

Set when each tool may run#

Go to Settings > AI preferences > Research & Tools. The tab opens on the When to use sub-tab, with How to use beside it.

On When to use, the Replies section lists three tools with a dropdown each: Calendar, Drive, and Web research.

Option Behavior
Auto dreamif.ai decides per email when this helps.
Only when clearly needed Used only when the draft clearly needs more context.
Off Not used for drafts.

Set a tool to Off when you would rather it never reach for that source, even if the draft would be better with it. Set Only when clearly needed when the tool is useful occasionally and noisy the rest of the time.

Write guidance for deciding#

Below the dropdowns, Tool-use guidance is a free-text box for how dreamif.ai should weigh whether a tool is worth using. For example:

"Prefer tools when they materially improve accuracy or save back-and-forth. Try Drive before web research when the answer is likely in my files."

Guidance does not override a tool you set to Off. A tool that is off stays off no matter what you write here.

Write instructions for using each tool#

Switch to the How to use sub-tab for three separate boxes: Calendar instructions, Drive instructions, and Web research instructions. These describe behavior once a tool is already running. For example:

  • Calendar: "Offer times when it helps, but do not sound overly eager to book calls."
  • Drive: "Summarize the relevant file briefly instead of quoting long passages."

Each guidance box accepts 600 characters.

Use different settings for nurture#

Both sub-tabs have a Nurture section with two checkboxes:

  • Use separate tool defaults for nurture sets Calendar, Drive, and web research defaults separately for nurture emails.
  • Use separate tool guidance for nurture gives nurture its own guidance text.

Leave both unchecked and nurture follows the same settings as replies. Check one and a second set of controls appears under it for nurture only.

A common split is web research Auto for replies and Off for nurture, so a follow-up never pulls in something you did not expect.

Save or reset#

Click Save Tool Defaults. This tab uses that label rather than the Save Settings button on the other tabs.

Reset to Default in the footer clears everything on this tab. The dialog reads "Reset tool defaults?" and covers both the reply and nurture defaults plus all guidance text. If it fails you will see "Unable to reset preferences right now."
